Who You Are & What You'll Do
We are seeking an experienced, highly organized, and results-driven Client & Sales Lead to join our rapidly growing organization. You will take ownership of our inbound lead pipeline, ensuring that prospective clients receive timely, compassionate, and highly effective communication while also driving strong conversion and booking results.
This role is ideal for someone who understands that exceptional client care and strong sales performance can work together. You will be responsible for converting inbound inquiries into new clients, developing and maintaining effective follow-up systems, managing client and clinician scheduling, monitoring KPIs, and continuously improving the processes that support client acquisition.
This is an in-person role based out of either our Mississauga or Hamilton location with some travel required in the GTA.
Key Responsibilities
Lead Management & Sales
Take ownership of the clinic's inbound lead pipeline from initial inquiry through booking.
Respond to inbound leads promptly and professionally via phone, email, text, and other communication channels.
Conduct discovery conversations to understand prospective clients' needs, goals, preferences, and barriers to accessing care.
Educate prospective clients about the clinic, available services, clinicians, fees, and treatment options.
Convert qualified leads into booked consultations, assessments, and appointments.
Develop and maintain structured follow-up sequences for leads who do not immediately book.
Proactively contact warm, inactive, and previously lost leads to generate additional bookings.
Maintain consistent follow-up and ensure qualified leads do not fall through the cracks.
Identify trends and barriers within the sales process and recommend strategies to improve conversion.
Work closely with marketing to provide feedback on lead quality, messaging, campaigns, and opportunities for improved lead generation.
Track and report on lead volume, response times, booking rates, conversion rates, and revenue.
Take ownership of agreed-upon sales and conversion KPIs.
Client Experience & Intake
Serve as a senior point of contact for prospective and existing clients.
Create a warm, professional, and supportive experience from the first interaction with the clinic.
Guide clients through the intake and booking process.
Ensure clients have a clear understanding of next steps, expectations, fees, policies, and appointment details.
Communicate with sensitivity and professionalism when working with individuals and families seeking mental health support.
Identify situations that require clinical involvement and escalate appropriately.
Act as an escalation point for complex client concerns or service issues.
Ensure concerns are resolved efficiently while maintaining a high standard of client care.
Maintain appropriate confidentiality and follow clinic privacy and documentation policies.
Calendar & Scheduling Management
Oversee day-to-day management of clinician calendars and appointment availability.
Coordinate appointments across clinicians, services, and client needs.
Book, reschedule, and cancel appointments as required.
Monitor cancellations and openings and proactively work to fill available appointment times.
Optimize clinician schedules and identify opportunities to improve utilization.
Coordinate consultations, assessments, follow-ups, and other client appointments.
Ensure scheduling processes are consistent and efficient across the clinic.
Operations & Process Improvement
Identify gaps and inefficiencies in the lead, intake, scheduling, and client-care processes.
Develop and implement SOPs, workflows, and best practices to improve lead conversion and client experience.
Continuously evaluate existing systems and recommend improvements.
Ensure CRM and client management systems are being used accurately and consistently.
Establish standards for lead response, follow-up, documentation, and client communication.
Develop and maintain lead-tracking and reporting processes.
Work with leadership to establish KPIs and performance expectations.
Analyze performance data and provide actionable insights to leadership.
Support implementation of new systems, technology, campaigns, and operational initiatives.
Help build scalable processes as the clinic continues to grow.
Team Leadership & Collaboration
Serve as a senior resource for client care and administrative team members.
Support the training and onboarding of new client care or administrative staff.
Help establish communication and service standards across the team.
Provide guidance on lead follow-up, client communication, scheduling, and escalation management.
Identify opportunities for team development and process improvement.
Collaborate closely with clinicians, operations, marketing, and leadership.
Ensure administrative and client-care priorities remain aligned with the clinic's clinical goals and overall business objectives.
What You Bring
3+ years of experience in sales, client acquisition, healthcare administration, patient care, intake coordination, customer experience, or a related field.
Demonstrated experience converting inbound leads into customers or clients.
Experience in a healthcare, mental health, wellness, medical, or professional-services environment strongly preferred.
Experience managing a CRM and lead pipeline.
Experience developing or improving SOPs, workflows, and operational processes.
Experience tracking KPIs and using data to improve performance.
Strong understanding of sales follow-up and conversion principles.
Experience managing calendars, scheduling, and client intake.
Previous leadership, supervisory, or lead-level experience is an asset.
